As part of running and promoting the sport of Pétanque, Bordon Pétanque Club (BPC) currently collect and store some, or all, of the following information:

 

  • Contact details (email, telephone and address)

  • Date of birth

  • Areas of interest

  • Registration details with national bodies

  • Membership /association with other Pétanque clubs

  • Competition scores

 

Most of the personal information BPC processes is provided directly by individuals for one of the following reasons:

 

  • Communication relating to club events, both past and present

  • Communication from BPC relating to regional and national Pétanque events

Data Usage

 

BPC use the information that is given in order to:

 

  • Manage membership, including advice and collection of annual membership fees.

  • Manage participation in competitions

  • Organise club Pétanque events

  • Organise training & coaching

  • Organise club social events

 

BPC may share this information with:

 

(a)         Members of the BPC Committee

(b)         BPC Team Captains for the purpose of running the activities of teams

(c)          Legal and Statutory authorities, when required

 

Personal Data will not be provided to any third parties without prior written approval being obtained from the individuals.

 

Bases for Processing

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

 

(a)         Your consent.

You are able to remove your consent at any time. You can do this by contacting the Membership Secretary.

(b)         We have a legal obligation.

 

Storage & Retention of Data

Your information is securely stored. This maybe in the form of password protected electronic files or in hard copy format that is securely stored and accessed.

BPC will keep personal information for the period of Membership, or for 18 months after the information has been supplied, whichever is the longer. BPC will then dispose of your information by erasing the electronic records or by disposing of physical records in a non-readable format.

 

Your data protection rights

Under data protection law, you have rights including:

 

Your right of access

 

You have the right to ask BPC for copies of your personal information.

 

Your right to rectification

 

You have the right to ask BPC to rectify any personal information you think is inaccurate. You also have the right to ask BPC to complete information you think is incomplete.

 

Your right to erasure

 

You have the right to ask BPC to erase your personal information in certain circumstances.

 

Your right to restriction of processing

 

You have the right to ask BPC to restrict the processing of your personal information in certain circumstances.

 

Your right to object to processing

 

You have the the right to object to the processing of your personal information in certain circumstances.

 

Your right to data portability

 

You have the right to ask that BPC transfer the personal information you gave to BPC to another organisation, or to you, in certain circumstances.

 

You are not required to pay any charge for exercising your rights. If you make a request, BPC have one month to respond to you.

How to complain

If you have any concerns about BPC’s use of your personal information, you can make a complaint to the BPC Chair.

You can also complain to the ICO if you are unhappy with how BPC have used your data.
